How to Turn a PDF or Report into a Presentation
A 30-page report and a 10-slide presentation do different jobs. A report is read. A presentation is listened to. Turning one into the other is mostly about choosing what to leave out.
1. Find the main message
Before you build a single slide, write down the one sentence you want people to remember. Most reports have an executive summary or conclusion that gets you most of the way there.
2. Pull out three to five key points
Look for the findings, decisions or recommendations that support your main message. Each one usually becomes a section of the deck with one to three slides.
3. Turn paragraphs into headlines
A good slide headline states the point, not the topic:
"Customer survey results"
"Most customers want faster delivery over lower prices"
Then add two or three short lines underneath with the evidence.
4. Turn tables into charts
Dense tables rarely work on screen. Pick the comparison that matters and show it as a simple bar or line chart. Keep the full table in an appendix or handout.
5. Move detail to speaker notes
Context, caveats and methodology belong in your speaker notes or in the appendix. The slide itself should be readable in a few seconds.
6. Keep the numbers exact
When you summarise, it is easy to round a number or mix up two figures. Check every number on your slides against the source document before you present.
Using AI to do the heavy lifting
AI is very good at the first draft of this process. Upload your PDF, DOCX or TXT file as a reference document, describe your audience, and an AI presentation maker can:
- Find the key points and build an outline around them.
- Write point-style headlines and short supporting text.
- Suggest where a chart would work better than text.
- Put extra detail into speaker notes.
You then review the result, check the numbers and adjust the emphasis for your audience.
Frequently asked questions
Can AI turn a PDF into a PowerPoint?
Yes. You can upload a PDF as a reference document and an AI presentation maker will build an outline and slides from its content, which you can download as a .pptx.
How many slides should a report presentation have?
Usually far fewer than the report has pages. Aim for one slide per key point, plus a title, summary and next steps slide.
What should I leave out when turning a report into slides?
Methodology, long tables and secondary findings. Keep them in the appendix or speaker notes.
