How to Structure a Quarterly Business Review Presentation

A quarterly business review should answer three questions quickly: how did we do, why, and what happens next. Everything else is supporting detail.

A simple QBR structure

  1. Title slide. Team or business unit, quarter and date.
  2. Summary. Three to five bullets with the headline results and the main decision you need, if any.
  3. Results vs targets. Your key metrics with the target, the actual figure and the difference.
  4. What went well. Wins and the reasons behind them.
  5. What fell short. Misses, honest reasons and what you learned.
  6. Deep dives. One or two slides on the topics leadership cares about most.
  7. Next quarter. Goals, priorities and the resources you need.
  8. Risks and asks. What could go wrong and the decisions or support you need.
  9. Appendix. Detailed tables and supporting data.

Lead with the summary

Senior audiences often want the conclusion first. If your summary slide is strong, the rest of the deck becomes a reference rather than a mystery to solve.

Presenting numbers clearly

  • Always show a comparison. A number alone means little. Compare it to the target, last quarter or the same quarter last year.
  • Use colour carefully. Use one colour for good and one for needs attention, and keep them consistent.
  • Round sensibly. "EUR 1.2M" is easier to read than "EUR 1,196,438".
  • Label every chart. Include units and the time period.

Be honest about misses

A review that only shows good news loses credibility. Showing what did not work, why, and what you are changing builds trust and makes your wins more believable.

End with decisions

The most useful QBRs finish with clear asks: budget, headcount, a priority call or help from another team. Put these on their own slide so they are not lost.
